Hello Parents!
As we get closer to the summer 2026 camp season, it is time to start preparing for your camper to take his medications at camp. If your camper will be taking medication of any kind this summer, please read this memo in its entirety, which will cover:
- Camp Menominee’s Medication Policy and Procedures
- Our partnership with Hayat Pharmacy
- Action items required to ensure your camper gets his medications on schedule this summer
At Camp Menominee, the word "medication" means anything taken or used to treat or manage a symptom or condition. Medications include all types of prescriptions, OTCs (over-the-counter, non-prescription medications), vitamins, and supplements. If your camper will have their own personal supply of any of these items at camp, please follow the policies and procedures for medications.
We appreciate your support in this process. This small step greatly enhances safety, reduces errors, and ensures a smoother experience for everyone. Thank you for being a part of our commitment to excellence in camper care!
Medication Policy Overview
In order for the Camp Menominee health care team to provide the highest quality of care to your campers, to ensure safe and efficient medication management, and to comply with strict state regulations on medication dispensing for summer camps, all prescription and over-the-counter (OTC) medications must be pre-packaged through our trusted pharmacy partner, Hayat Pharmacy. For the past four summers, we have worked with Hayat Pharmacy to have all medications individually packaged with details including medication name, dosage, date, and time. This packaging improves accuracy, ensures precise administration of each medication, and enhances safety for all campers. This also allows our healthcare team to focus on what’s most important—building relationships with campers, reviewing health forms, setting up calls with families, and preparing for a safe and healthy summer.
Why Hayat Pharmacy?
- Safe & Efficient: Hayat ensures correct dosages and reduces medication errors
- Reliable Supply: Hayat helps secure medications in advance, especially for ADD/ADHD medications that have been in short supply
- Direct Camp Support: Our healthcare team has an open line with Hayat pharmacists for real-time consultation if any issues or medication changes come up
- Cost-Effective: Hayat costs $75 per camper - significantly less than other camp pharmacy providers
Policy Guidelines
- All medications (prescription and OTC), vitamins, and supplements must be filled and pre-packaged by Hayat Pharmacy. This includes as needed items, such as allergy medications and melatonin. There are very few exceptions which will be listed below.
- Self-prepared medications (those in pill minders or baggies) will NOT be accepted and will be SENT HOME with your camper at the end of camp. For every medication sent from home, our Health Center team must spend hours sorting, labeling, and verifying. This process is not efficient, delays care for campers on site, and is simply not approved by local health authorities.
- Expired medication will NOT be accepted and will be SENT HOME with your camper at the end of camp.
- Medications that are sent in the original bottle with all prescribing information from a pharmacy other than Hayat will incur a $200 repackaging fee per session. These medications run the risk of not getting administered to your camper right away.
- Failure to utilize the pre-packaging pharmacy partner without written approval from a Camp Director will result in a fee of $200 per session.
- If Hayat Pharmacy cannot work directly with your family for medication packaging, please reach out to the health center (healthcenter@campmenominee.com) as soon as possible.
- To be in compliance with our local Health Department, any medication in any form must be stored in the Health Center and be administered by the health care team. With the exception of rescue inhalers, medications cannot be stored in a camper's cabin.
- The American Academy of Pediatrics (AAP), the Alliance for Camp Health (ACH), and Camp Menominee strongly believe that campers should not take “medication vacations” while they are in session at camp. If campers are taking medications to help improve their physical or behavioral health and wellbeing while in session at school, the same medications should be continued while in session at camp.
Exceptions
Epi-pens:
- Please send one to camp prior to the first day of camp. Your camper should carry an additional epi-pen on the bus up to camp.
- Make sure the pharmacy label is affixed to the box.
- Allergies for which the pen is needed must be noted in your camper’s health form.
- Include an action plan when uploading your camper’s physical to his health history form. This plan (from school or your doctor’s office) helps guide our care for campers with allergies.
- Check the expiration date. We cannot administer an expired epi-pen. We will ask you to send up a new one if the epi-pen is expired.
Rescue inhalers:
- Please send one sealed rescue inhaler to camp prior to the first day of camp. Your camper may travel to camp with a second one. Your camper will be allowed to keep one rescue inhaler in the cabin with him, after the health center team receives it.
- Make sure the pharmacy label is affixed to the box.
- Check the expiration date. We cannot administer an expired inhaler.
- Include an asthma action plan when uploading your camper’s physical to his health history form. This plan (from school or your doctor’s office) helps guide our care for campers with asthma.
- Document the rescue inhaler as medication in your camper’s medication list.
Injectables:
- You may order through Hayat Pharmacy or however works best for you. If sending up with your camper, medication MUST be given to the lead staff member at the bus. Please contact the health center prior to camp.
Nebulizers:
- Camper may bring their machine with them on the bus and deliver to the health center upon arrival. Please contact the health center prior to camp.
Short-term/new prescriptions (within 10 days of camp):
- If your camper is prescribed a new short-term medication for an illness (i.e antibiotics) within 10 days of camp, this medication may be sent to camp in the original bottle labeled by the pharmacy. You must notify the health center prior to camp.
Newly prescribed daily medications (within 10 days of camp):
- We will allow a one-week supply in the original bottle labeled by the pharmacy while Hayat Pharmacy fills and sends the new prescription. You must notify the health center before the first day of camp and you must work with Hayat Pharmacy to have the medication filled. Failure to transition to Hayat will result in a $200 repackaging fee.
If your camper requires medication for an illness while at camp, our camp nurse practitioner will prescribe it, and we will fill it through our local pharmacy after updating you with our plan of care.
Over-the-Counter Medications at Camp
The Health Center stocks many common OTC medications including Tylenol, Advil, antihistamines, decongestants, Pepto-Bismol, Lotrimin, and Dramamine. Please do not send OTC medications to camp unless your camper needs to take them daily AND you have followed the same instructions in our medication policy. Campers requiring OTCs more than twice per week must have them pre-packaged by Hayat Pharmacy. Any unused medication will be returned home at the end of the summer. If your camper requires routine use of an OTC that was not pre-packaged by Hayat Pharmacy, you will be charged $200 per session.
While you can give your son an OTC medication at home without a prescription, at camp, anything that a camper receives must be accompanied by a physician's order. In addition, per state laws, pharmacists cannot label/fill anything without a prescription from a physician (that would be considered practicing medicine without a license).
Melatonin
We cannot give melatonin to campers on an as needed basis. Remember that campers stay very active at camp, and most of them are very tired at night! If you feel it is necessary for your camper to have melatonin while he is at camp, you will need to follow the same instructions as described for all medications in our medication policy.
Costs & Fees
- Hayat Pharmacy costs $75 per camper (fees are per camper, not RX, and do not include medication costs or insurance copays)
- A $200 non-compliance fee will be charged for in-house medication sorting if your camper’s medication is not sent through Hayat Pharmacy
- Parents are responsible for any shipping-related costs
Getting Started
- Log into CampInTouch or open the Campanion App
- Complete the Health History form, listing all prescription and OTTC medications, doses, and instructions
- Fill out the Hayat Pharmacy Enrollment Form and submit it directly to Hayat through one of the ways listed on the form.
- Administration instructions must match the instructions on your camper’s online health history form. Any discrepancies must be reconciled before the medication is administered.
- Hayat will process and ship medications directly to camp prior to the start of each session
- Mail any necessary emergency medications (Epi-pens, inhalers, injectables) to:
Camp Menominee
Attn: Health Center
5035 County Road D
Eagle River, WI 54521
Please Know Before You Order
- Medications will be administered to campers at breakfast, lunch, dinner, and bedtime. Please specify the time of day for medication administration on your Hayat form. If the prescription or ordering instructions list “once a day,” the default will be breakfast.
- Liquid medications, gummies, chewable and dissolvable tablets do not store well at camp. Please order the swallowable pill form of medication for your camper if possible. In the event that a pill is not available, other forms of medication will be permitted.
Important 2026 Update
Due to nationwide shortages of certain Schedule II medications (e.g., ADHD medications), early notification to Hayat is essential to ensure availability.
We understand that pharmacy services come at a cost, however, this is part of the partnership between parents and camp leading up to the summer. These services are vital in helping our Health Center Staff prepare for camp. Their time will be spent getting to know the campers, reading health forms, setting up calls with parents, and setting up our Health Center for the safest and healthiest summer possible.
Please don’t hesitate to reach out to the Camp Menominee Health Center at healthcenter@campmenominee.com or info@campmenominee.com
Thank you for your partnership in ensuring the best camp experience possible!
